Assistant Director, Jericho Way

Salary:  $40,000/yearly

Mission

Depaul USA is the Chicago-based, US affiliate of the international homelessness services organization Depaul International. We support homeless and marginalized people around the world, providing people experiencing homelessness with purpose and hope for a positive future. Our vision is that everyone has a place to call home and a stake in his or her community. In cities across the nation, we meet people where they are to address their needs. Through a combination of homelessness services and a growing social enterprise portfolio, Depaul USA is innovating and bringing real solutions to those facing homelessness.

In Philadelphia, Pennsylvania we provide home to 27 men experiencing homelessness, working with them to secure meaningful employment and permanent housing and supporting them towards successful integration with the community. We operate an 8-bed medical respite center in the same building. Philadelphia is also home to St. Raymond’s House which provides 27 units of permanent supportive housing for men and women. In Macon, Georgia we operate a day/resource center for homeless men and women, offering free health care, hygiene, job training, education, and recreation services. In New Orleans, Louisiana we provide rapid rehousing and permanent supportive housing for chronically homeless individuals with disabilities. In St. Louis, Missouri we operate a scattered-site, housing program for homeless men and women with cognitive disabilities. In Chicago, we manage a home-host program for university students facing homelessness.

Specific responsibilities include:

 

  1. Primary Duties
  1. Assure the safe and effective day-to-day operation of Jericho Way.
  2. Supervise staff on a day-today basis.  Set their performance objectives and conduct their evaluations.  Provide payroll to executive office.
  3. Maintain data for program operations.
  4. Provide regular reports to City of Little Rock regarding program outputs and outcomes.
  5. Manage program’s financial operations including approval of invoices, petty cash, in-kind donations, cash management, and control expenses (actual v. budget). Draft and monitor the annual budget.
  6. Collect, total, and send cash contributions received at Jericho Way to the executive office.
  7. Design and implement needed administrative and operating procedures for purchasing, petty cash, program expenditures and other activities.

 

  1. General Responsibilities

2.0         Maintain cleanliness and attractiveness of building and grounds.

  1. Draft articles about Jericho Way for the newsletter, social media and traditional media.
  2. Draft press releases for media outlets.
  3. Develop and regularly update a list of contacts (people & organizations) the Executive Director should meet with in Little Rock. 
  4. Plan and organize the Executive Director’s visits to Little Rock.

 

Qualifications

The ideal Assistant Director will be a professional with several years of management experience in the nonprofit sector. S/he will ideally have experience developing the donor base; building brand identity; and managing social service sites.

The Assistant Director will have the following experience and attributes:

  • A bachelor’s degree from an accredited college or university plus at least 5 years of experience working in a development capacity at an organization with diverse or projects and/or project sites. Master’s degree in non-profit management a plus. 
  • Exceptional written and oral communication skills.
  • Ability to organize tasks, events, and people, and delegate effectively.
  • Strong interpersonal skills; organization skills; and the ability to work in a team and all levels of the organization.
  • Proficient in use of personal computers, Microsoft Office suite, and internet.

Position Summary

The Volunteer Coordinator is responsible for managing volunteers and their relationships with those they serve, including employees and clients.  Also, the Volunteer Coordinator is responsible for recruitment, scheduling, communication with and retention of volunteers, and related documentation and reporting.

 

  1. Primary Responsibilities

 

  1. Work closely with Program Director to identify client needs and design volunteer programs.

 

  1. Recruit and train volunteers, retain volunteers, develop volunteer skills and abilities, and report to senior management, as needed.

 

  1. Generate and update volunteer role descriptions.

 

  1. Review volunteer applications, permission slips and background checks; following up with the Program Director, as necessary.

 

  1. Maintain volunteer files to ensure volunteers have met all requirements and submitted all necessary paperwork for volunteering. Maintain volunteer contact information including addresses, email addresses and telephone numbers. Maintain volunteer emergency contact information to ensure that it easily accessible by staff.

 

  1. Prepare forms, reports, statistics and other documents related to volunteer management as required by the Program Director.

 

  1. Schedule volunteers to ensure all volunteer operated stations are adequately staffed.

 

  1. Promote volunteering (internally and externally) through recruitment, and public strategies.

 

  1. Assist with other office management-related tasks, as required.

 

  1. Additional Tasks

 

  1. Conduct data entry and maintenance on a computerized system.

 

  1. Conduct tours of the facility for visitors and volunteers.

 

  1. Build up good working relationships with other projects and agencies in the community.

 

  1. Stay informed of current local and national events, trends, and issues (wherever possible), that impact Depaul USA’s work with the homeless.

 

  1. General Responsibilities

 

  1. Strive continuously to develop the role in collaboration with the senior management and all staff to ensure that all tasks are being undertaken in an effective and appropriate manner, meeting the strategic goals and objectives of Depaul USA.

 

  1. Participate in internal/external meetings as required, and attends training events, conferences and other functions as necessary.

 

  1. Participate in regular supervision and annual appraisal, and helps in identifying personal job-related development and training needs.

 

  1. Ensure that Depaul USA policies and procedures are upheld, particularly those relating to Health and Safety, Code of Practice, the Employee Handbook, and Confidentiality.

 

  1. Contribute to the effective implementation of Depaul USA’s Equal Opportunities Policy as it affects both the organization and its work with this client group.

 

  1. Undertake the role in a professional manner maintaining a high quality standard of work at all times, and to work always in accordance with the Vision, Mission, and Values of Depaul USA.

 

  1. Undertake any other duties that may be required which are commensurate with the role.

 

Qualifications

 

The ideal Volunteer Coordinator will be an experienced professional with several years of experience working with volunteers and/or coordinating others, in the social services setting. S/he will ideally have experience: with volunteer recruiting, training, marketing, developing relationships with a wide variety of stakeholders, and adapting to the changing needs of a growing program. The Volunteer Coordinator will have the following experience and attributes:

 

  • A four-year degree from an accredited college or university OR 3-5 years of experience in a relevant post;
  • Exceptional management skills, especially relationship management, organizing, and planning;
  • Exceptional communication, multi-tasking, and interpersonal skills;
  • Excellent computer skills with all Microsoft Office programs;
  • Ability to organize tasks, events, and people, and delegate effectively; and
  • Strong organization skills; and the ability to work in a team and all levels of the organization.
